SCOPE/RESPONSABILITIES
This position is related to two profiles: administrative/clerical job and accounting area.The candidate must be flexible and organized to meet the demands of growing organization. Account and Admin Executive is the primary point of contact between the Company and external clients/suppliers/consultants/ professionals. The ideal candidate will have a cheery disposition and good organizational skills, will show a good attitude to learn and to handle with new tasks/activities/commitments that will be assigned from time to time, following the standard company procedures and policies.
JOB FUNCTIONS
To deal with telephone and email enquiries
To sort and distribute incoming post and organize and send outgoing post and parcels
To order and maintain stationery
To maintain the condition of the office and arrange for necessary repairs and cleaning
To photocopy, scan and print various documents, sometime on behalf of other colleagues
To arrange appointments for managers when required
To organize and arrange travel and accommodation for staff or customer or external contacts if required
To be able to use a variety of software such as Microsoft Word, Outlook, Excel to produce correspondence and documents, records, spreadsheets and databases
To type and write letters
To organize and store paperwork and documents
To carry out and develop an efficient filing system for both paper and electronic records
To perform day to day accounting functions (invoice and payment entry in ERP system, hardcopy invoice filing, preparation of payment vouchers and cheques, petty cash management, fixed assets management)
To undertake any other duties instructed by the superiors
KNOWLEDGE/SKILL/ABILITIES
Clerical and administrative and accounting skills
Ability to communicate effectively with internal and external contacts at all levels
Ability to work to deadlines and within defined standards
Ability to compose and produce standard letters and reports using IT application (Word, Excel, Outlook, PowerPoint)
Ability to deal sensitively and appropriately with confidential information
Ability to undertake notes/minutes at meetings
Ability to undertake research
